There are several AI-powered tools available to ASU users. ASU is mindful of data security and safety when interacting with AI tools. While some tools are free, these may not be secure. ASU maintains partnerships to offer paid licenses with enterprise-level security and data agreements to faculty, staff, and some students. These paid license agreements also guarantee that data is not used to train AI algorithms.

ASU Online AI tools

Developed by ASU Online, these resources are tailored for educators. These tools are designed to streamline the creation of course materials, eliminating the need for in-depth expertise in prompt engineering or programming.

ChatGPT Edu

ASU provides a FREE ChatGPT license until September 1, 2026.

ChatGPT Edu is a chatbot and virtual assistant that can help with a range of tasks. Possible tasks include answering questions, drafting documents, summarizing text, creating images, or automating processes. ChatGPT Edu is available to ASU due to an enterprise agreement between ASU and OpenAI. The contract ensures that ASU data is stored securely and will not be used to train OpenAI’s models. ChatGPT Edu supports the most advanced OpenAI model, image generation, and custom agents.

Microsoft Copilot 

Copilot is a generative AI tool developed by Microsoft. Two versions are available to ASU users. Both offer AI-powered assistance, but are different in their integration and application. Copilot Chat is a general-purpose AI assistant, while Copilot for Microsoft 365 is specifically designed to enhance productivity within the Microsoft 365 suite. 

Both versions can be used to generate text, refine documents, analyze data, and generate images.

Copilot versions

  • Copilot Chat is available with or without a login. This version is a chat-based assistant and is free to use. Copilot Chat can be accessed here: Microsoft Copilot: Your AI companion. ASU internal, FERPA, and sensitive unregulated data can be used in the tool as long as you are using your ASURITE to log in.
  • Microsoft 365 Copilot is integrated with Microsoft 365 apps (i.e., Word, Excel, Outlook). An ASU license costs $373.54 annually. Licenses are available to faculty, staff, and student workers. Inputs and data are FERPA-secure. Data not used to train AI models.

Copilot Chat

Copilot Chat is free and can be used without logging in, or when logged in with your ASURITE account. ASU data can be used in the tool as long as you are using your ASURITE to log in.

Chrome and Safari users are limited to five messages per day, while Edge users can send up to 30 messages.

Copilot for Microsoft 365

Copilot for Microsoft 365 is unique in that it integrates with Microsoft Office tools like Excel, Word, PowerPoint, and Outlook. It does not integrate with macOS applications, and should be used in a browser instead. 

Copilot for Microsoft 365 is ONLY approved for Sensitive data governed by FERPA and public/internal/sensitive data not governed by any other regulations. This tool may NOT be used for other regulated sensitive data, such as HIPAA PHI, payment card information governed by PCI DSS, or Financial Aid/GLBA data.

ASU faculty and staff can use Copilot for Microsoft 365. This tool is not available to students. Departments will be charged $373.54 per user per Copilot for a Microsoft 365 license annually. The license cost can be prorated based on the month of access granted.

Google Gemini

Built into Google Suite Enterprise for Education, offering features like drafting emails, revising documents, and generating images and designs, all with enterprise-grade security and privacy. 

There are no free Google AI products with ASU.

Gemini versions

  • Gemini (free) is available with a personal Google account. Free and premium personal plans are not secure. Do not use ASU data in free, Premium, or Advanced accounts.
  • Gemini for Google Workspace costs $225.19 per license annually. Licenses are available only to faculty and staff. Inputs and data are FERPA-secure. Data not used to train AI models.

Gemini for Google Workspace

When you use Gemini with your education account, your data won’t be used to improve AI models, and your data won’t be reviewed by humans to improve AI models.

Departments will be charged $225.19 per user per Gemini for the Google Workspaces license. The license cost can be prorated based on the month access is granted. The license cost is subject to change each year, and billing terms are based on the fiscal year

ZoomAI

Features in Zoom for collaborating and communicating more efficiently by drafting emails, summarizing meetings, and even brainstorming with colleagues.

Adobe Express

Adobe Express is an all-in-one AI content creation app designed to assist users in crafting sleek, eye-catching social posts, images, videos, flyers and more.
